Application
Participants who wish to reserve hotel accommodation and an excursion should apply via the Internet - URL: http://www.acplan.jp/ichc2012/. Or, you can download the application form (PDF) and send it to the JTB Corp by fax or e-mail. Application should be accompanied by a payment covering the total amount of hotel accommodation and excursion. No reservation will be confirmed in the absence of this payment. All payments must be made in Japanese yen (JPY).

Cancellation
In the case of cancellation, a written notification should be sent to JTB. The following cancellation fees will be deducted before any refund is made.

Hotel:
8 or more days prior to the first night of stay ---- None
7 to 2 days prior to the first night of stay ---- 30% of daily room rate
1 day prior to the first night of stay ---- 40% of daily room rate
On the day of the first night of stay ---- 50% of daily room rate
After the day of the first night of stay, or in case of failure to check in without notice ---- 100% of daily room rate
Excursion:
8 or more days prior to the tour date ---- None
7 to 2 days prior to the tour date ---- 30% of tour fare
1 day prior to the tour date ---- 40% of tour fare
On the tour date ---- 50% of tour fare
After the departure time, or in case of failure to join the tour without notice ---- 100% of tour fare

Passport and Visa
All foreign visitors entering Japan must possess a valid passport. Participants requiring visas should apply to the Japanese Consulate or Mission in their countries prior to departure. For details, participants are advised to contact their travel agencies or to visit the official website of the Ministry of Foreign Affairs of Japan. For those who need to apply for a visa, please contact the Organizing Secretariat.

Foreign Exchange and Credit Cards
The Congress can only accept Japanese yen in cash or Master/VISA credit cards at the registration desk. Foreign currency exchange is available at major hotels, banks and international airports in Japan including the Kansai International Airport. Major credit cards are widely accepted at hotels and shops. You can withdraw money using credit cards issued by VISA, Master Card, American Express, Diners Club, etc. at Japanese Post Office ATMs, but please verify this with your credit card company before departure from your home country. It is suggested that you bring sufficient cash in yen for your needs.

Climate and Clothing
In late August, the average temperature in Kyoto is approximately 27.6°C (81.7°F) with a high of 35.7°C (96.3°F) and low of 20.4°C (68.7°F). Light summer clothing is recommended.

Electric Power
Western Japan, including Kyoto is on 100V, AC/60Hz. Devices for 110V AC will work well. The plug type in Japan is type A with two flat blades without a ground pin, the same type widely used in the USA and Canada.

Consumption Tax
A national consumption tax of 5% is added to almost all commodities and services in Japan.

Tipping
Tipping is not customary in Japan.
